Free invoice template for tradespeople

For electricians, plumbers, builders, and handypeople: this opens an invoice with labour, a call-out fee, and materials already split onto separate lines — the way a clear trade invoice should read. Adjust the amounts, add the customer, export a PDF from the van. It works offline, so a weak signal on site is never a problem.

Split labour and materials

Keep labour and materials on separate lines, always. Customers query a single lump sum; they rarely query an itemised one. It also makes any markup on parts transparent and defensible, and it's what an insurer or landlord will expect if the customer is claiming the cost back.

  • Call-out fee as its own line, so it's clearly the minimum charge, not hidden in the labour rate.
  • Materials & parts as one line, or itemised if the job was big — your call.
  • Labour by the hour or as a fixed price for the job.

Deposits and payment on completion

For jobs with expensive materials, take a deposit up front and show it as a paid line so the balance due is unmistakable. State when payment is due — "on completion" or a short window like 7 days — and give the invoice a unique, sequential number. If you're registered for VAT/GST, that sequential number and your tax number are legally required: see what must be on an invoice.
